JOINING THE SCHEME Associate Moviola venues are required to complete an Agreement Form confirming the service they wish to join and the detailed ‘extras’ of the scheme that they require.  The Agreement Form will require the postal address and contact details of the organisation and a signature from an authorised representative. Signing the form signifies agreement to the conditions set out above Associate Moviola venues are listed on our website www.moviola.org and we are happy to put there any information you want: For example contact details for your venue, how to buy tickets, a link to your own website. Moviola is a Registered Charity and our constitution restricts us to providing the above services to not-for-profit organisations such as village halls, arts centres, and other Charitable bodies.   We regret that this service is not available to private profit making organisations or ones established for a purely commercial purpose.  Please contact us if you need to check your status in this regard. Conditions of Gold Service

MOVIOLA will do the following for you:

  1. Send you a films menu and an optional DVD of trailers three times a year.
  2. Book your films for you with film distributors and send you a disc of your feature film.
  3. Email you a formal confirmation of your booking which sets out all charges.
  4. Send your feature film & shorts discs by Royal Mail recorded delivery to arrive at latest the day before your show.
  5. Charge you  35% of your gross box office for each feature film for any film you book from the films menu which is being shown by other venues in our network. This figure already contains VAT so no further VAT will be added.  You will be informed at the point of booking if the charging level is likely to be other than this.
  6. Book for you any film which is not on our menu (and therefore being specially booked for you) but if you are the only venue showing this title, you will be responsible for the normal distributor’s guarantee or 35% of box office whichever is the larger.
  7. Charge you per show an administration fee of £40, plus 5% of your box office takings + VAT on the total fee.  This fee will be capped at £55 + VAT.
  8. Supply a trailer and shorts disc for your show unless you instruct us that you do not require this service.
  9. Aim to respond immediately to any queries you have about bookings and be available at reasonable times by email to offer you support with any aspect of your booking
  10. Accept a cancellation of a booking without charge up to fourteen days before your show.  After that, you may be charged any administration charges associated with the booking (including postage and Moviola fee and any distributors’ cancellation charges).

 In return, you agree to:

  1. Make film bookings as far in advance of your show date as possible and with a minimum of two weeks notice.
  2. Book the majority of your films through Moviola
  3. Reconfirm by email your confirmation to toby.walkley@gmail.com.
  4. Return all discs to Moviola Head Office (or, if requested, mail on to the next user ) the day following your show (Monday if your show is on Saturday or Sunday).  If you are late in returning discs, you understand that you may be responsible for costs arising from the cancellation of another user’s show.
  5. Return Shorts discs or send back with the feature film disc.
  6. Guarantee the security of discs while they are in your care and undertake not to copy or loan them to a third party.
  7. Handle the disc with care during projection, return in original packaging and let Moviola know immediately if there is any problem with the disc.
  8. Within seven days of your show date, email to moviolaceo@gmail.com the number of tickets sold and at what price.  This is an official auditable return. You will maintain and keep evidence of ticket sales (e.g. ticket stubs, ticket books) for 12 months from the date of show and agree to make these available for audit by Moviola or the Film Distributor.
  9. Pay the Moviola invoice within 28 days of receipt by cheque or BACS transfer.
  10. Pay all invoiced charges which will comprise film hire, administration fee and outward and return postage.
  11. Contact Moviola if you have an issue or query arising from your booking. Films are booked for you  by Moviola from the relevant Film Distributors.   Your show is licensed to you by the Film Distributor through Moviola.  Contact Moviola (not the Film Distributor) if you have any query about your booking or if anyone asks for proof that your show is licensed.
  12. Comply with the standard conditions applicable to public film shows (for example adherence to BBFC classifications U, PG, 12A etc).  It is your responsibility to ensure that your screening venue is licensed with the local authority for public film showing and that your have appropriate PRS licenses for any use of music at your show.

Conditions of Silver Service

MOVIOLA will do the following for you:

  4. Send your support disc by Royal Mail normal post to arrive at latest by 1pm the day before your show (unless you tell us you do not require a shorts disk).
  5. Charge you  35% of your gross box office for each feature film  for any film you book from the films menu which is being shown by other venues in our network.This figure already contains VAT so no further VAT will be added.  You will be informed at the point of booking if the charging level is likely to be other than this.
