Introduction to Moviola Associate Membership

Moviola’s size makes it unique in the UK; and the large number of films we show and number of screenings for each film makes us attractive to film distributors who are keen for us to use their films.  This gives us a special relationship with national film distributors which individual venues will find it difficult to have.

We do not ‘own’ films.  They are supplied to us by the London distributors and we book films from them in the same way as any individual venue would do.

Associate Moviola membership allows community-based venues across the United Kingdom to be included on our ‘block booking’.  This means that they are saved the work of contacting film distributors and making box office returns to them.  Moviola also provides an unrivalled response time to queries and a friendliness of approach.  Associates also benefit from having no minimum charges for most titles and pay no VAT on film hire charges.

Being a Moviola Associate means being in a network of well over 200 similar film exhibitors.  Moviola is also a member of the Cinema Exhibitors Association (to which the multiplex chains and virtually all other full time UK cinemas belong.)    So Associates are (through Moviola) right in the mainstream of UK film exhibition no matter how small or remote they may be. Associates can get advice from us about running shows and of course programming help based on our 12 years of success with rural audiences.

Associate Moviola venues are sent a Menu of recommended films and a DVD of trailers three times a year:  In June for the season September to December; in November for January to Easter; and in March for Easter to the end of August.   This allows participants to choose from the very latest film releases.

Associate Moviola members can also request free of charge a support disk for each feature film containing a trailer for the next film and an appropriate short film.

Associate Membership is free to any non profit-distributing (i.e. non ‘commercial’) group.  All we require is that Associates follow the terms of service set out below, most importantly around the security of films (removing the risk of piracy which so damages the film business), sending back films on time and sending in box office returns within a week of the show date.  We also ask that the majority of a group’s films are sourced through us; we do not have the resources to support one-off or occasional bookings

We are offering two levels of service: GOLD and SILVER .    Both have the same film hire charge (35% of box office ) and both benefit from the short films/trailers service.     Put simply, GOLD service users receive all disks from Moviola, both feature film and short , while SILVER  users provide their own feature film disk.    These booking fees are the sole means of resourcing the service;  we receive no public grant aid support for the scheme.

Moviola is a Charitable organisation dedicated to improving access to cinema for community groups, especially those in rural areas.   We pride ourselves on our efficiency and our professionalism.  However we are not simply a commercial body:  We look for and reward a close relationship with Associates.  We aim to know our venues and want them to be as successful as they can in providing an exciting cinema service for their communities.

Conditions of Gold Service

 MOVIOLA will do the following for you:

  1. Send you a films menu and DVD of trailers three times a year.
  2. Book your films for you with film distributors and send you a disk of your feature film.
  3. Email you a formal confirmation of your booking which sets out all charges.
  4. Send your feature film & shorts disks by Royal Mail Special Delivery to arrive at latest by 1pm the day before your show.
  5. Charge you  35% of your gross box office for each feature film for any film you book from the films menu which is being shown by other venues in our network. No VAT will be charged on film hire.  You will be informed at the point of booking if the charging level is likely to be other than this.
  6. Moviola can book for you any film which is not on the films menu (and therefore being specially booked for you) but if you are the only venue showing this title, you will be responsible for the normal distributor’s guarantee or 35% of box office whichever is the larger.
  7. Charge you an administration fee of £40 plus VAT per show for this service.
  8. Supply a trailer and shorts disk for your show unless you instruct us that you do not require this service.
  9. Aim to respond immediately to any queries you have about bookings and be available at reasonable times by email to offer you support with any aspect of your booking
  10. Accept a cancellation of a booking without charge up to fourteen days before your show.  After that, you may be charged any administration charges associated with the booking (including postage and Moviola fee and any distributors’ cancellation charges).

 In return, you agree to:

  1. Make film bookings as far in advance of your show date as possible and with a minimum of two weeks notice.
  2. Book the majority of your films through Moviola
  3. Reconfirm by email your confirmation to toby.walkley@gmail.com.
  4. Return all disks to Moviola Head Office (or, if requested, mail on to the next user ) the day following your show (Monday if your show is on Saturday or Sunday).  If you are late in returning disks, you understand that you may be responsible for costs arising from the cancellation of another user’s show.
  5. Return Shorts disks or send on with the feature film disk.
  6. Guarantee the security of disks while they are in your care and undertake not to copy or loan them to a third party.
  7. Handle the disk with care during projection, return in original packaging and let Moviola know immediately if there is any problem with the disk.
  8. Within seven days of your show date, email to tony.ewart@btinternet.com the number of tickets sold and at what price.  This is an official auditable return. You will maintain and keep evidence of ticket sales (e.g. ticket stubs, ticket books) for 12 months from the date of show and agree to make these available for audit by Moviola or the Film Distributor.
  9. Pay the Moviola invoice within 28 days of receipt by cheque or BACS transfer.
  10. Pay all invoiced charges which will comprise film hire, administration fee and outward and return postage.
  11. Contact Moviola if you have an issue or query arising from your booking. Films are booked for you  by Moviola from the relevant Film Distributors.   Your show is licensed to you by the Film Distributor through Moviola.  Contact Moviola (not the Film Distributor) if you have any query about your booking or if anyone asks for proof that your show is licensed.
  12. Comply with the standard conditions applicable to public film shows (for example adherence to BBFC classifications U, PG, 12A etc).  It is your responsibility to ensure that your screening venue is licensed with the local authority for public film showing and that your have appropriate PRS licenses for any use of music at your show.

 

Conditions of Silver Service

MOVIOLA will do the following for you:

JOINING THE SCHEME Associate Moviola venues are required to complete an Agreement Form confirming the service they wish to join and the detailed ‘extras’ of the scheme that they require.  The Agreement Form will require the postal address and contact details of the organisation and a signature from an authorised representative. Signing the form signifies agreement to the conditions set out above Associate Moviola venues are listed on our website www.moviola.org and we are happy to put there any information you want: For example contact details for your venue, how to buy tickets, a link to your own website. Moviola is a Registered Charity and our constitution restricts us to providing the above services to not-for-profit organisations such as village halls, arts centres, and other Charitable bodies.   We regret that this service is not available to private profit making organisations or ones established for a purely commercial purpose.  Please contact us if you need to check your status in this regard.
